Resources are grouped into Resource Categories so you always create Categories first followed by Specific Resources & People.
Steps in our Walkthrough SetupIn this example we assume you have Service Providers and a Rooms to use in your appointments.
Step 1- Create a Resource Category called Advisor. Choose Human Resource(Service Provider)in the dropdown menu when creating the category.
Step 2- Create a second Resource Category called Room. Choose "Non-human Resource" for this category
Step 3- Click on the word "Room" in your resource list. This link will open a box to create "Specific Resources" Here, you will create your actual rooms. Let's make one called Room 101 and another called Room 102. Notice that because these are physical resources they need to be associated with a Location so make them associated with Main for now.
Now you're ready to go to Step 5. People
Notes on Resources for more experienced users:
Specific Resources: Each Resource Category must have at least one “Specific Resource.” A red zero in the Total Resources column will warn that you need to add Specific Resources.
Overbooking Limit describes how many appointments can be booked using that single resource at the same time. This can be very useful for shared resources, generic resources or for overbooking. More on Overbooking here.
These are non-human resources. Access these by clicking the Resource Category Name and then adding or editing them.
Remember that Specific Resources are tied to specific locations as seen on the dropdown in their edit table.
Pro Tip: If you have multiple locations, it may make sense to call out the location in the resource name. ie. Room 1 (Sydney)
Provider vs Non-Service Provider
Some businesses and practices have non-providers who help with appointments such as Nurses, Assistants, paralegals etc. These resources are treated slightly differently from Providers in the system.
- Don't have 'Available Times' and are considered always available during business hours
- Can't subscribe to calendar feeds
- Can be 'overbooked' the same as Service Providers can so they can float between appointments if needed
If you find that you need to have the Non Service Providers updated with calendar sync and available times you should change them to Service Providers instead
