Detailed New Feature Notes:
- New Features
- Shared vs Private setting on Appointment Types
- Description: You can now set up on the Appointment Type whether the calendar event in the invitation sent to your customer is a Shared event, meaning that the host and customer details are all included in the same event and everyone can see one another, or Private, where the customer receives a calendar invite that does not reveal the host email or details.
- Benefits: This is great for organizations that want to keep invitations private and not reveal their host information. This is also great for organizations that do want to share because now, you can see your customer in the synced event to your personal calendar and therefore see things that the calendar shares such as whether they have confirmed the appointment.
- How to Use: Simply select Shared or Private on the Calendar Invitations section of the Appointment Type setup in the Appointiv Configuration settings.
- Show 5-minute increments for appointment start times
- Description: You can now set individual Appointment Types to show either 5-minute increments for their start times or keep them using the current standard of 15-minute increment start times.
- Benefits: Some customers prefer to have 5-minute start times for appointments that require lots of people booking in over a relatively short time period. An example might be Flu Shots where you would like to have lots of customers book in with 5-minute increment start times. You can still have the duration set to longer than 5 minutes if desired.
- How to Use: When setting up a new Appointment Type or editing an existing one, the choice to use 5-minute increments is on the first step under the "Basic Details" section which is the very first section. We recommend only using the 5-minute increment when it is advantageous because it ignores the normal "start times for the webform" setting that is set on the Service Provider level.
- Select between AND and OR for your list of required resources in an Appointment Type
- Description: This is a major upgrade to the logic capabilities you can now use to apply resources to appointment types. Previously, every Resource listed in an Appointment Type was considered to be required (assuming AND logic function)
- Benefits: This new logic makes it now possible to have an Appointment Type that might require either one type of Service Provider OR another. This greatly enhances your ability to utilize different Service Provider groups. It will now be possible to have an appointment that can be hosted by a Doctor OR a Nurse for example. To have a Salesperson OR a Technical Engineer as another example.
- How to Use: Simply add multiple rows on the Required Resources section of the Appointment Type configuration. A box will appear where you can enter AND or OR. You can also reference lines in such a way as to do things like 1 AND (2 OR 3)
- Create multiple Schedules within a single Location for each Service Provider and attach them to specific Appointment Types
- Description: Another major upgrade to the scheduling logic and flexibilty is the new ability to add multiple Schedules for each Service Provider and then to determine exactly which schedule should be used per Appointment Type.
- Benefits: Much greater flexibility in scheduling. Especially when different Appointment Types need to have different schedules.
- How to Use: Go into the Schedules sub-tab in the Configure page. Create a new Schedule and give it a unique name along with unique times. Each schedule is associated with one Service Provider and Location. Then, you can either add Appointment Types directly to the Schedule or you can go to the Appointment Types individually and add/subtract schedules as needed.
- Add your own custom information per Appointment Type to the Calendar invitations sent to customers
- Description: You can now use form-filled information to determine what is included in the Calendar invite that your customers receive. Send a different message depending on the Appointment Type.
- Benefits: Including information such as the web conference details for online appointments or specific instructions relevant to first-time customers for certain appointment types can help enhance your customers' experiences.
- How to Use: Go to the Calendar Invitations section on the Appointment Type configuration page. You can use Salesforce fields within the text that is included in the messages. All information will appear on the "Description" text box in the calendar event.
