Overview
Appointiv now offers an enhanced email matching feature that allows for more flexible and accurate matching of contacts during the booking process. This feature can be enabled via a Custom Setting in your Salesforce org and provides improved functionality for checking email fields on Contact records.
Key Features
- Multiple Email Field Checking: When enabled, the system can check any email field presented on the booking form against all email fields on the Contact record.
- New Booking Email Field: A new custom field, "Booking Email," is populated with the email address entered in the booking form.
- Flexible Configuration: Administrators can enable or disable this feature using a Custom Setting in Salesforce.
Enabling the Feature
To enable the enhanced email matching feature:
- Navigate to Custom Settings in your Salesforce org.
- Find the "Appointiv Settings" section.
- Locate the "checkAllEmailFields" setting.
- Set the value to "True" to enable the feature.
How It Works
- When a user enters an email address in the booking form, the system checks this email against all email fields on existing Contact records.
- The matching process uses both the Last Name and Email for accurate contact identification.
- If a match is found, the system updates the Contact record accordingly.
Important Configuration Notes
- Matching Rule Configuration: When setting up the matching rule in the Appointiv Configuration page, ensure that you include the email field used on the booking form.
- Warning: Including a field in the matching rule that is not presented on the booking form could result in null values matching in Salesforce, which may break the functionality.
Customization Possibilities
While the basic functionality is standard across all customer orgs, further customizations are possible. For example:
- Custom flows can be created to manage how email fields are updated or rearranged on the Contact record after a match is found.
- Additional logic can be implemented to handle specific business requirements around email matching and contact updates.
