Would you like to add your personal Zoom meeting link to the email messages that get sent to your customers? No problem, you can easily do that by saving the link on your Service Provider record and then adding it to your email templates.
The only requirement is that you use your static (doesn't change from meeting to meeting) link. This is generally a great solution because the virtual meeting rooms include a "lobby"or waiting area so you don't need to be concerned with one set of guests joining in on top of another meeting that is already in progress.
How it works:
You can add the Service Provider's personal meeting link to meeting invitations and emails. We have a special custom field called Personal Web Conference Details that stores the personal link on the Service Provider record. The reason we say it is special is that it also gets automatically copied to the Appointment Detail record for each appointment. This means you can pull it from the Appointment detail record and include it in emails. (Pulling it from the Appointment Detail record just removes any confusion of whether the related Contact is the Customer vs the Service Provider.)
How to set it up:
If that sounds technical, don't worry because we make it easy for you.
The first thing we need to do is to add the field "Personal Web Conference Details" to the Contact field set named Appointiv Service Provider Details. This makes the field appear on your Service Provider records when you edit them in the Appointiv Configure screens.
Go to Setup then Object Manager.
Look in the Field Sets area
Find and open the Appointiv Service Provider Details Field Set
Add the Personal Web Conference Details field just after email address.
After the new field is in the field set - the field will appear in your Appointiv Configure > People tab.
Open the Appointiv Application
Go to the Configure tab
Go to the People subtab
Open up a Service Provider record and you will see the new field.
Enter the Service Provider's web conferencing link
After adding the link into the Service Provider's record and saving, you can then add the field to your standard email templates.
Go to the Email Template subtab of the Appointiv Configure tab
You can search for fields to include in your email templates using the dropdown menus- here is how it will look when you find the Personal Web Confere Link field:
If you'd don't want to search for it, just copy this field name:
Add that to your email template and now the link for each Service Provider will be automatically added to the emails.
